Teramind

WorkDone uses Teramind workforce-analytics data as the telemetry source for two product experiences:

  • the Vision Dashboard in Corporate Memory: ongoing activity analytics (applications and sites, email, collaboration, textual activity, printer usage) for your organization's leadership; and
  • AI Transformation Accelerator assessments: a time-boxed analysis of how work actually happens in your organization, used to identify automation and AI opportunities.

Teramind is deployed in your environment, under your administration. WorkDone consumes the resulting activity data; it does not operate the agents or decide what they capture; you do.

How It Works

  1. Teramind agents, deployed and configured by your IT team on the machines you choose, capture workforce activity telemetry according to the monitoring policies you set in Teramind.
  2. On an agreed schedule, that activity data is transferred into your organization's WorkDone tenant over an encrypted channel.
  3. Corporate Memory aggregates it into the Vision Dashboard's analytics views, and, if you have commissioned one, the assessment team uses it to build your AI Transformation Assessment.

Access to the resulting dashboards is role-restricted in the portal (see SSO & Identity); workforce analytics are typically limited to admin and management roles.

Prerequisites

  • A Teramind deployment (cloud or on-premise) administered by your organization.
  • Teramind agents installed on the machines within the agreed observation scope.
  • Read access for WorkDone to the relevant Teramind data, arranged with your implementation contact. WorkDone needs only read access to the activity data you have agreed to share, never administrative control of your Teramind instance.
  • Agreement on scope, observation window, and (for assessments) anonymization; see below.

Data-Scope Transparency

You should be able to state precisely what is being observed, and Teramind's policy configuration makes that enforceable on your side:

  • Which machines and users are in scope is determined by where you deploy agents and which Teramind policies you enable.
  • Which activity categories (applications, websites, email metadata, collaboration tools, typed text, printing) are captured is set in your Teramind policies: categories you disable are never captured, and therefore never reach WorkDone.
  • WorkDone consumes only what your Teramind configuration produces. Your implementation contact will document the exact categories feeding your dashboards so the scope is transparent to your workers' representatives, security team, and legal counsel.

Check your obligations first

Workforce monitoring is regulated in many jurisdictions and may require employee notice, consent, or works-council agreement. Confirm your legal obligations and internal policies before deploying agents. WorkDone can adapt the data scope to what your counsel approves.

Anonymization for Assessments

AI Transformation Assessments aim to characterize processes, not evaluate people. You can choose:

  • Identified: activity tied to named users; most precise for follow-up interviews.
  • Pseudonymized: user identities replaced with stable role-level labels (for example, "Buyer 3") before analysis; findings reference roles and workflows, not individuals.
  • Aggregated: analysis only at team or department level.

Agree the anonymization level with your implementation contact before the observation window starts; it is applied before assessment analysis begins.

The Observation Window Is Yours to Control

  • For assessments, data collection runs for a fixed, pre-agreed window (commonly a few working weeks). Outside that window, no assessment data is collected.
  • For the ongoing Vision Dashboard, you decide when the feed starts, and you can pause or stop it at any time by pausing the transfer, adjusting Teramind policies, or removing agents. Any of these takes effect on your side without WorkDone's involvement.
  • Historical data retention in your tenant can be configured; ask support to purge historical activity data if you discontinue the feed.

Changing or Revoking Access

  • Narrow scope. Adjust Teramind policies or agent deployment; the dashboards simply reflect the reduced feed.
  • Revoke. Remove WorkDone's read access to your Teramind data or stop the transfer. Contact support to purge previously transferred data from your tenant.
