Access and accounts¶
How do I get an account?¶
All WorkDone products are invitation-only: there is no public sign-up. For Corporate Memory, an administrator in your organization invites you by email. If you believe you should have access, ask your organization's admin.
Why is some WorkDone sign-in passwordless?¶
Where WorkDone products use email one-time passcodes instead of passwords, it's deliberate: there is no password to be phished, reused, or leaked. Codes are single-use and expire within minutes; see Security and Access for how to handle codes safely.
What do the Corporate Memory roles mean?¶
There are four: Admin (full administration, including user management and the approval queue), Management (review/approval workflows and usage analytics), Automation (the workflows configured for your operation), and Member (Copilot and dashboards). Your admin assigns roles; the recommended practice is least privilege; see Security and Access.
An employee left our company. What should we do?¶
Have your admin remove their account promptly via Managing Users. Don't rely on email deactivation alone. Offboarding belongs in your standard leaver checklist.
Data and privacy¶
Where is my data hosted?¶
WorkDone products are hosted on Microsoft Azure. If your security team needs specifics on hosting or data residency, contact support@workdone.ai.
Is my data used to train AI models?¶
No. Your documents and data are used only to serve your own organization: answering your users' Copilot questions, generating your reports, powering your dashboards. They are not used to train AI models.
Is my organization's data isolated from other customers?¶
Yes. Tenancy is organization-scoped throughout: your knowledge base, ERP working data, analytics, reports, and users exist inside your organization's tenant and are not visible to any other customer. See Security and Compliance.
Are assessment participants identifiable in reports?¶
AI Transformation Assessment reports anonymize participants by default; findings are presented at team and pattern level. See Data Governance for how to run a telemetry-based assessment responsibly.
How long is our data retained? Can we request deletion?¶
Retention and deletion are governed by your agreement with WorkDone. Email support@workdone.ai with retention, deletion, or data-processing questions and we'll answer against your actual terms.
AI behavior¶
How do I know a Copilot answer is correct?¶
Every Copilot answer includes citations to the source documents it drew from. That's the verification mechanism: for anything consequential, open the citation and confirm the source says what the answer claims. An answer's reliability is ultimately the reliability of the documents behind it; see Knowledge Base Curation.
Can Copilot answer questions about things outside our documents?¶
Copilot is grounded in your organization's knowledge base by design. If the answer isn't in your connected documents, the right outcome is "I don't have information on that" rather than a guess. Missing answers are a curation signal: add or update the relevant document.
Is there human review of what goes into the knowledge base?¶
Yes. Documents ingested from your connected sources pass an AI content review, and flagged files wait in a human approval queue: a person in your organization decides whether they enter the knowledge base.
What AI models does WorkDone use?¶
WorkDone uses enterprise-grade AI models operated within its Azure-hosted environment. Your data is used only to serve your organization, not to train models. For deeper technical or security questions about the AI stack, contact support@workdone.ai.
Integrations¶
What systems does Corporate Memory connect to?¶
Microsoft SharePoint and Google Drive (knowledge-base ingestion), your ERP and business systems (workflow automation, scoped per engagement), and Teramind (workforce analytics). All are covered in the integration guides.
Do integrations get write access to our systems?¶
Almost everything is read-only: document ingestion and analytics feeds never write to your systems. The only write paths are workflow-automation updates to your own business systems, and nothing is written until a person in your organization approves it in the portal.
Can we change which folders or sites are synced?¶
Yes, at any time. Contact your WorkDone implementation contact or support to adjust integration scope. Guidance on choosing scope well is in Knowledge Base Curation.
Billing and contract¶
Who do I talk to about pricing, renewals, or adding users beyond our plan?¶
Your account manager. Support handles technical issues; commercial questions (pricing, contract terms, renewals, plan changes) go to your account manager or your WorkDone implementation contact. If you don't know who that is, email support@workdone.ai and we'll connect you.
Where are our SLA terms defined?¶
In your agreement with WorkDone. The Support page lists the published response times by priority; contractual response and resolution targets live in your contract, and your account manager can walk you through them.
